Job Summary The Payroll Manager is responsible for overseeing and managing the payroll process, ensuring timely and accurate compensation for all employees, in addition to managing the payroll department and staff.
This role involves collaboration with various departments to gather payroll-related information, compliance with tax regulations, and effective communication with employees regarding payroll matters.
Responsibilities Payroll Processing:
Manage end-to-end multi-state and multi-entity payroll processing, including data collection, calculation of wages, and distribution of payments.
Coordinate with Finance to ensure accurate allocation of costs and compliance with entity-specific requirements.
Ensure accuracy and timeliness of payroll disbursements.
Compliance:
Stay updated on local, state, and federal payroll regulations and ensure compliance.
Prepare and submit payroll tax returns in accordance with regulatory requirements.
Address any compliance issues promptly.
Data Management:
Maintain accurate employee records, including time and attendance, benefits, and tax withholding information.
Regularly audit payroll data to identify and correct discrepancies.
Communication:
Respond to employee inquiries regarding payroll matters.
Communicate changes in payroll policies and procedures to relevant stakeholders.
Collaboration:
Work closely with HR, finance, and other departments to gather necessary payroll-related information.
Collaborate with external vendors, such as payroll service providers, as needed.
Reporting:
Generate and analyze payroll reports to ensure accuracy and identify trends.
Prepare financial reports related to payroll expenses for management.
Process Improvement:
Continuously evaluate and enhance payroll processes for efficiency and effectiveness.
Implement new technologies or systems to improve payroll operations.
Audit Support:
Facilitate internal and external audits related to payroll processes.
Provide necessary documentation and support during audits.
Qualifications:
Bachelor's degree in accounting, Finance, Business Administration, or related field (preferred).
Proven experience as a Payroll Manager or in a similar role managing a small team.
In-depth knowledge of payroll regulations, tax laws, and compliance requirements.
General ledger experience.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Proficient in payroll software, preferably ADP Vantage, and MS Office, especially Excel.
Strong communication and interpersonal skills.
Additional Skills:
Certified Payroll Professional (CPP) designation is a plus.
Familiarity with HRIS (Human Resources Information System) software.
Ability to handle sensitive and confidential information with discretion.
